Restaurant group reconciles cash-coupon redemptions across two systems

A quick-service restaurant group's finance team reconciled redeemed cash coupons every month by hand: download the coupon redemption report from the Aigens e-payment portal, lift out the discount IDs, log into the group intranet to run the matching transaction reconciliation report, then eyeball the two against historical records for variances. We built a robot that runs the whole monthly cycle — both downloads, the ID handoff between systems, the database update, the variance check, and an emailed summary report — with a target of cutting processing time per item by 80%.

What we used: RPA Development, Process Automation

1The problem

  • Every month, finance had to reconcile cash-coupon redemptions between the Aigens e-payment portal and the group's own intranet reports.
  • The coupon redemption report only lists discount backend IDs — someone had to lift them out, deduplicate, and key them into the intranet's reconciliation report query by hand.
  • Variance checking meant eyeballing freshly downloaded CSV and Excel files against years of historical records.
  • One full-time staff member owned this monthly grind, with a medium exception rate keeping it from being routine.

2What we did

  1. 1A robot runs the monthly cycle unattended: it logs into the Aigens portal and downloads the coupon redemption report for the previous month.
  2. 2It reads the discount backend ID column from the report, deduplicates it, and carries the list straight into the next system — no rekeying.
  3. 3It logs into the group intranet, runs the transaction reconciliation report for the same period with those payment IDs, and downloads the result.
  4. 4Every run writes to SQL Server — database tables stay current, keeping the full reconciliation history in one place.
  5. 5The robot checks variances between portal redemptions and intranet transactions, and produces the Excel summary.
  6. 6The report lands in finance's inbox by email, attached and ready to review.
  7. 7Login failures and unknown errors trigger an email notification with a screenshot, and the run ends cleanly — nothing fails silently.
